PHO cervical screening analysis

This spreadsheet is a progress report of the IPIF Cervical screening indicator for the quarter.  It includes details by practice. View a sample report (pdf 346kb)  A description of each sheet follows.


This sheet shows a combination of the work done so far this quarter and the progress against the IPIF target.

You will see that there are two columns in this spreadsheet:
NSU Data - This is the data that comes from the National Screening Unit, this information is extracted by the MoH and sent to us around the 20th of the month. This data should be up to date to the end of the previous month and may include some data from the current month (depends on the lab).
PMS Data - This is the data that is located in your PMS, which Karo receives from your monthly/quarterly clinical event exports

Please note that it is the NSU data that is used to calculate your IPIF results - the PMS data is in this spreadsheet for comparison and enable improvements in your data.

These two columns will have the identical numbers for these three rows as they are based on the funded population rather than the NSU or PMS data:

  • patients
  • hysterectomy adjustment
  • adjusted populat ion

Female patients aged 25-69 is the total funded patients aged between 25 and 69 on the first day of the quarter

Hysterectomy adjustment is the number of patients who have been 'adjusted' out of the total patients to take into consideration the number of patients who have had a hysterectomy/exempt (details befow).

Exempt patients this is the actual number of patients who are marked as exempt in either the NSU or PMS - it is in here for comparison with the hysterectomy adjustment - generally you would expect this to be lower

Adjusted Population is the first line minus the second line which gives you the denominator (adjusted population) for the IPIF indicator

Screened is the number of those patients who have had their cervical screening completed as at the time the data was submitted to Karo/MoH

% Screened is the percentage of patients with their cervical screening completed (that is screened divided by adjusted population)

Cervical Screening Target, this is the current IPIF target which 80% of your adjusted population.

Number to reach the target this is the most important number and for the IPIF indicator is the number in the NSU data column as this is the nominated source of truth for this indicator.


The last three lines highlight both what needs to be done and the differences between what was sent to Karo from NSU versus from the PMS Clinical Event export. 

Not screened in either system these are the number of women who are overdue for screening

Screened in PMS but not in NSU these are women who according to NSU are overdue for screening. This highlights a clinical risk as these group are most likely not being recalled despite being due as there is an incorrect record in the PMS (for example a woman is recorded as exempt when she is not) - or it may highlight a problem with data getting into NSU

Screened in NSU but not in PMS this indicates that either the women have been screened elsewhere and the practice does not know about it OR that a screening has not been entered for the smear OR that the outcome has not been recorded for that screening OR the outcome has not been sent to Karo (e.g. PMS Clinical Event Export is not sending outcomes, or the practice is not ticking export CXSmear)

The summary by practice sheet has exactly the same information but is broken down by practice.

This enables the PHO to quickly and easily see who has reached the target.

For each 5 year age range a proportion of patients are removed from the total the proportions are as follows:

25-29 0.009

35-39 0.038
40-44 0.069
45-49 0.105
50-54 0.145
55-59 0.197
60-64 0.255
